Admission & Application Assistance

Mathematics is your job. Paperwork, deadlines, and application logistics are ours. No student in this programme has ever missed an exam deadline or submitted an incomplete application — and that is not an accident.

Why This Matters

Talented students miss olympiad registrations every year — not because they were unprepared, but because the administrative side was handled alone, in a hurry, without a system. This section of the programme removes that risk entirely. Every deadline, every document, every form — tracked, supervised, and submitted correctly.

🗺
Roadmap Before Action
Every student begins with a personalised application roadmap built around their specific target exams and timeline — before a single form is opened.
Zero Missed Deadlines
A structured alert system ensures deadlines reach the student and family with enough lead time to act — not the night before.
Supervised, Not Assumed
Form completion and document submission are actively supervised — not handed over with instructions and left to chance.
Eligibility Guidance

Exam-Wise Eligibility & Entry Requirements

Eligibility rules change. We track them — so families do not have to.

IOQM
Indian Olympiad Qualifier in Mathematics
Open to students studying in Class 8 through Class 12 in any recognised Indian school. No prior olympiad history required. Registration is school-based through HBCSE. The most accessible entry point into the national olympiad pipeline.
Open Entry
RMO
Regional Mathematical Olympiad
Qualification through IOQM is the standard route. State-specific quotas and regional coordinator rules apply — which vary and must be checked annually. Some regions have additional eligibility conditions for non-CBSE students.
Via IOQM
INMO
Indian National Mathematical Olympiad
Qualification through RMO. Top performers from each region are selected — the exact cutoff varies by region and cohort strength. Students must be below the age of 20 and not yet completed Class 12 at the time of the exam.
Via RMO
NTSE & Others
NTSE, PRMO Archive, State Olympiads
NTSE has Class 10-specific rules with state-stage and national-stage selection. Various state-level and international olympiads (SASMO, AMC 10/12, USAMO for Indian students abroad) each have their own eligibility conditions — all of which we map for enrolled students.

Personalised Application Roadmap

Six-Phase Personalised Application Roadmap

Built individually for every student — based on their class, target exams, and available preparation time

🎯
Phase 1 — Target Setting
Identify the Right Exam & Realistic Goal
The roadmap begins with an honest conversation — which exams are appropriate for this student's current level, class, and available preparation time? Aiming for INMO when the foundation is not ready is discouraging and inefficient. Aiming for IOQM as an intermediate milestone may be the strategically smarter move. This phase produces clarity — and a written target.
Level Assessment Exam Selection Written Target Doc
📋
Phase 2 — Eligibility Verification
Confirm Eligibility Before Any Preparation Commitment
Before the student invests months of preparation, we formally verify their eligibility for the target exam — age criteria, school affiliation requirements, class requirements, and regional conditions. This protects against the deeply frustrating outcome of a well-prepared student being unable to register due to an overlooked eligibility condition.
Age Verification School Affiliation Check Regional Rules Review
📁
Phase 3 — Documentation Preparation
Gather, Verify, and Organise All Required Documents
Every required document is identified, gathered in advance of the deadline window, and checked for accuracy. School certificates, date-of-birth proof, passport photographs, institution codes, and fee payment records are all organised into a submission-ready folder before the registration portal even opens. Last-minute document scrambles are eliminated entirely.
Document Checklist Advance Gathering Accuracy Verification
🖊
Phase 4 — Form Supervision
Application Form Completed Under Direct Supervision
Registration forms are completed together with Sourav Sir or a designated coordinator — not handed to the student or parent to fill independently. Every field is reviewed: exam centre selection (strategically important), subject combination, contact details, and fee payment confirmation. Errors in registration forms have caused students to sit in wrong centres and receive incorrect admit cards. We prevent this at the source.
Joint Form Review Centre Selection Strategy Payment Confirmation
📡
Phase 5 — Submission & Confirmation
Submit, Confirm, and Retain Proof
After submission, the confirmation receipt is saved and filed. Registration status is checked after 48 hours to confirm the application was received and processed correctly. Admit card release dates are tracked. When admit cards are released, they are downloaded, verified for accuracy, and stored before the student is informed — so no urgent action is required at the last moment.
Receipt Archiving Status Verification Admit Card Monitoring
📊
Phase 6 — Post-Exam Roadmap Update
Results → Next Exam Strategy → Updated Roadmap
After results are declared, the roadmap is updated. If the student qualified: the next exam's registration timeline is immediately activated. If the student did not qualify: the result is analysed, the preparation gap is identified, and the updated roadmap reflects a realistic timeline to the next attempt. The process is continuous, not one-and-done.

Documentation Checklist
📋 Checklist
Master Documentation Checklist — All Exams
School Identity & Bonafide Certificate
Issued by the school principal on official letterhead. Must confirm current class and enrollment status. Some exams require the school's DISE/UDISE code — which many schools are unaware they need to include.
⚠ Verify DISE code is included
Date of Birth Proof
Birth certificate or Class 10 mark sheet (for older students). Must match the name as it appears on the application form exactly. Name mismatches cause admit card issues that are difficult to resolve after submission.
⚠ Name must match application exactly
Passport Photograph — Correct Specifications
White background, recent, specific size (varies by exam — typically 3.5cm × 4.5cm). Many rejections occur because photographs do not meet specification. We provide the exact specification for each exam in advance.
Registration Fee Payment Proof
Bank receipt, UPI transaction ID, or demand draft (exam-specific). Payment must be made before the deadline — not on the deadline. We recommend completing payment at least five days before closure.
⚠ Complete 5 days before deadline
Valid Contact Details & Email ID
All communication from exam bodies — including admit cards and results — is sent to the registered email. This email must be actively monitored. A spam-filtered or unmonitored inbox has caused students to miss critical communications.
⚠ Check spam folder post-registration
Prior Olympiad Certificates (where applicable)
For higher-round registrations (RMO, INMO), proof of qualification from the previous round is typically required. These certificates must be preserved carefully after each exam — loss of a qualification certificate has prevented students from completing higher-round registration.

School Bonafide Certificate Collection
Must be collected from school within 3 working days. Principal's office to be visited Tuesday or Wednesday. Specific wording for the certificate has been shared with the student's parent.
2 Weeks
Registration Fee Payment Window Opens
Payment mode confirmed as online. Do not wait until the last day — portal congestion on deadline date causes submission failures every year. Target payment 5 days before closure.
Plan Ahead
Admit Card Monitoring Period
Admit cards typically released 2–3 weeks before exam. Email to be checked daily from this date. If not received within 5 days of expected release, immediate escalation to exam coordinator is required.
Alert delivery protocol: Deadline alerts are communicated to both the student and the parent — via the class session, a written note, and a direct message. No deadline relies on one person's memory. Every critical date has three points of accountability.

Support Channels

Four Administrative Support Channels

Support is not limited to academics — administrative queries have a dedicated resolution path

📞
Direct Phone Support
Urgent application or deadline queries are answered directly. No ticket system — direct access to Sourav Sir or the programme coordinator for time-sensitive issues.
💬
Dedicated Admin Messaging
A separate channel for administrative queries keeps academic and logistical communications organised. No application question is mixed into a study doubt thread.
👨‍👩‍👧
Parent Coordination Line
Parents receive direct updates on registration status, deadline actions, and document requirements — not routed through the student. Parents are treated as partners in the process.
📂
Shared Document Repository
All filed documents, confirmation receipts, admit cards, and certificates are stored in a shared digital folder — accessible to the family and never lost regardless of device changes.
The Confidence Framework

Building Administrative Confidence — Not Just Compliance

The goal is not to do this for the student — it is to ensure they arrive at the exam with complete clarity and zero logistical anxiety

01
The Student Knows Every Step Before It Happens
Every upcoming deadline, document requirement, and administrative action is communicated in advance — not revealed on the day. Students who understand the full picture feel in control rather than reactive. Control reduces anxiety. Reduced anxiety improves exam performance.
02
Parents Are Informed Partners, Not Passive Observers
Families who understand the olympiad process — its structure, its significance, its realistic expectations — become active supporters of the student's preparation rather than sources of counter-pressure. Family briefings are a standard part of the programme, not an optional add-on.
03
Nothing Is Left to Memory Alone
Every deadline, checklist item, and action step is written down and shared in a permanent format. The system is the safety net — not the student's or parent's recall ability under the pressure of school examinations, family commitments, and daily life.
04
Exam Day Logistics Are Treated as Seriously as Exam Day Content
A student who arrives at the exam centre late, without a printed admit card, having never seen the venue — is mentally compromised before they open the paper. Every logistical detail of exam day is planned, rehearsed, and confirmed — so the student's only job on that morning is mathematics.
05
Results Are Handled With Perspective and a Forward Plan
When results are declared, the student does not face them alone. A structured debrief follows every result — what it means, what it does not mean, and what the next step is. Neither over-celebration nor despair is the appropriate response. Clarity and forward momentum are.

From First Registration to National Stage — We Navigate It With You

The olympiad journey has two parallel tracks: mathematical preparation and administrative execution. Most coaching handles only the first. We handle both — so the student's attention stays entirely on mathematics, and the family's confidence remains steady throughout.
